Terms of Service

These terms are the agreement between ScheduleMeeting (“we”, “us”) and the organisation using the service (“you”). By creating an account or using the service you accept them. If you are accepting on behalf of a company, you confirm you are authorised to bind that company.

1. What the service is

ScheduleMeeting is scheduling software provided over the internet. It lets an organisation publish booking pages, compute availability from working hours and connected calendars, accept meeting bookings from invitees, and send confirmation and reminder emails about those meetings.

ScheduleMeeting is sold to organisations for business use. It is not offered for personal, household or consumer use.

2. Accounts

  • You must give accurate account information and keep it current.
  • You are responsible for everything done under your account, including by the members you invite.
  • You must keep credentials confidential and tell us promptly at [email protected] if you believe an account has been compromised.
  • Each member you invite occupies a seat on your plan. You are responsible for their use of the service.
  • You must be at least 16 years old to hold an account.

3. Plans, the demo, and billing

ScheduleMeeting is a paid product. There is no free plan. An account that has not subscribed operates in a limited demo mode, which exists so you can evaluate the service. Demo limits are published on the pricing page and may change; the demo is not a tier and is not intended for running your organisation's scheduling.

  • Paid plans, their prices, their seat allowances and their limits are those shown on the pricing page at the time you subscribe.
  • Monthly plans are charged in advance every month. Yearly plans are charged once in advance for twelve months at the discounted rate shown.
  • Payment is by card through Stripe. You authorise us to charge the payment method you provide for each renewal until you cancel.
  • Subscriptions renew automatically for the same period unless cancelled before the renewal date.
  • Prices exclude any tax that applies where your organisation is registered; such tax is added where required.
  • We may change prices. A change affects your next renewal, not the period you already paid for, and we will give you notice by email before it applies.
  • Changing plan mid-period is prorated by Stripe.

Refunds. Charges already made are non-refundable except where the law requires otherwise. If you cancel, your plan runs until the end of the period you have paid for and then the organisation returns to demo limits. If we materially fail to provide the service and cannot put it right in a reasonable time, contact us at [email protected] and we will deal with it fairly.

4. Acceptable use

You may not use ScheduleMeeting to:

  • Break the law, or infringe anyone's rights.
  • Send unsolicited bulk email, or use booking pages to harvest email addresses.
  • Harass, threaten or deceive invitees, or misrepresent who is offering a meeting.
  • Attempt to access another organisation's data, or probe, scan or attack the service.
  • Circumvent seat limits, plan limits, rate limits or the demo restrictions.
  • Resell or white-label the service without a written agreement with us.
  • Overload the service with automated requests beyond ordinary use.

We may suspend an account that is causing harm to the service or to other users. Where it is reasonable to do so, we will tell you first and give you a chance to fix it.

5. Your data

Your account data, meeting types and bookings remain yours. You grant us the permission needed to host, process, transmit and display that data in order to operate the service for you.

You are responsible for the personal data you collect from invitees through your booking pages, including having a lawful basis for collecting it and honouring the rights of the people it concerns. For that data you are the controller and we act as your processor. Our handling of personal data is described in the Privacy Policy, which forms part of these terms.

6. Third-party services

If you connect Google Calendar, your use of Google's services is governed by your agreement with Google. We are not responsible for changes Google makes to its APIs or for periods when they are unavailable. Payment processing is provided by Stripe under Stripe's own terms.

7. Availability

We work to keep ScheduleMeeting available and to give notice of planned maintenance where we can. We do not offer a contractual uptime guarantee, and we do not publish an uptime figure we do not measure. The service is provided on an “as is” and “as available” basis, without warranties beyond those that cannot be excluded by law.

Scheduling depends on information you and your invitees supply and on third-party calendar services. We are not responsible for a meeting that does not happen because a calendar was not connected, availability was configured incorrectly, an email was filtered by a recipient's provider, or a participant did not attend.

8. Liability

To the maximum extent the law allows, neither party is liable for indirect or consequential loss, loss of profit, loss of business, loss of goodwill, or lost opportunity arising from these terms. Our total liability for all claims in any twelve-month period is limited to the amount you paid us for the service in that period.

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.

9. Ending the agreement

  • You may cancel your subscription at any time from the billing screen; it stays active until the end of the period you have paid for.
  • You may close your organisation at any time. Data is deleted as described in the Privacy Policy, except records we must keep by law.
  • We may terminate for a material breach of these terms that is not fixed within 14 days of us telling you about it, or immediately where the breach cannot be fixed or is causing serious harm.
  • If we discontinue the service, we will give reasonable notice and refund the unused portion of any prepaid period.

10. Changes to these terms

We may update these terms. The date at the top shows when they last changed. Where a change materially affects your rights we will notify account holders by email before it takes effect. Continuing to use the service after that means you accept the updated terms; if you do not, you may cancel.

11. General

  • These terms, together with the Privacy Policy, are the whole agreement between us about the service.
  • If a provision is unenforceable, the rest continues in force.
  • Not enforcing a right immediately does not waive it.
  • You may not assign these terms without our consent. We may assign them as part of a transfer of our business.
  • Notices to you go to the email on your account; notices to us go to [email protected].
